1. Introduction

These Terms and Conditions (the "Terms") govern your access to and use of the vehicle rental and leasing services offered by BOK AUTOS NI LTD ("BOK AUTOS NI LTD", "we", "us", or "our") via the website https://bok-autosni.site/, by telephone, email, or in person.

By making a booking, submitting an enquiry, signing a rental agreement, collecting a vehicle, or otherwise using our services, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you do not agree with any part of these Terms, you must not proceed with a booking or use our services.

These Terms apply in addition to any specific rental agreement, booking confirmation, or written variation provided to you at the time of hire. In the event of any conflict between these Terms and your individual rental agreement, the rental agreement will prevail to the extent of the conflict.

2. Definitions

For the purposes of these Terms, the following definitions apply:

  • "BOK AUTOS NI LTD" means BOK AUTOS NI LTD, a vehicle rental company specialising in the renting and leasing of cars and light motor vehicles, with its principal place of business at 51 Terrenew Road, Dungannon, Co. Tyrone, United Kingdom, BT70 3AB.
  • "Renter" (also referred to as "you" or "your") means any individual or business that makes a booking, enters into a rental or leasing agreement with us, or otherwise uses our vehicles or services.
  • "Vehicle" means any car or light motor vehicle provided by BOK AUTOS NI LTD for rental or lease, including all parts, tools, accessories, documents, and equipment supplied with the vehicle.
  • "Agreement" means the legally binding contract formed between the Renter and BOK AUTOS NI LTD, comprising these Terms, the rental or leasing agreement signed at the commencement of hire, and any applicable booking confirmation or written variation.
  • "Booking" means a request or reservation for a Vehicle or related service made via our website https://bok-autosni.site/, by phone, email, or any other accepted communication channel.
  • "Rental Period" means the period during which the Renter is entitled to use the Vehicle, as specified in the rental agreement or booking confirmation, including any extensions agreed in writing.
  • "Business Use" means the use of a Vehicle by a company, partnership, sole trader, or other organisation for commercial or business purposes, as authorised by BOK AUTOS NI LTD.

3. Eligibility and Driver Requirements

3.1 General eligibility

To rent or lease a Vehicle from BOK AUTOS NI LTD, you must:

  • Be legally capable of entering into a binding contract in the United Kingdom; and
  • Meet all driver, licence, and documentation requirements set out in this section and in your rental agreement.

3.2 Age requirements

  • The standard minimum age for renting a Vehicle is 23 years at the start of the Rental Period, unless otherwise stated in writing.
  • Certain Vehicle categories may require a higher minimum age or carry additional conditions or surcharges. These will be communicated to you at the time of booking.
  • We reserve the right to refuse rental or impose additional conditions where we reasonably consider that age or driving history presents an unacceptable risk.

3.3 Driving licence and experience

  • All drivers must hold a valid, full driving licence that is acceptable under UK law, for the class of Vehicle being rented.
  • Unless otherwise confirmed by us in writing, drivers must have held their full driving licence for a minimum of 12 months prior to the start of the Rental Period.
  • International renters must provide a driving licence that is written in English or accompanied by an International Driving Permit or certified translation, if required under applicable law.

3.4 Documentation at vehicle handover

At the start of the Rental Period, the Renter and any additional authorised drivers must present, as applicable:

  • Original, valid driving licence.
  • Additional photographic identification such as a passport or national ID card, where requested.
  • Proof of address and contact details, such as a recent utility bill or bank statement, if reasonably required for verification.
  • Payment card in the driver’s name for security deposit or payment purposes, if applicable.

3.5 Right to refuse rental

We may, at our reasonable discretion, decline or terminate a rental where:

  • Required documentation is incomplete, invalid, or appears fraudulent.
  • A driver has an adverse driving record, disqualifications, or endorsements that we consider to pose an unacceptable risk.
  • We have reason to believe the Vehicle may be used for unlawful or unsafe purposes.

4. Booking and Payment Terms

4.1 Booking process

Bookings may be made online via https://bok-autosni.site/, by telephone, or by email. A booking is considered an offer to rent a Vehicle subject to these Terms and availability.

We will review your request and, where accepted, issue a booking confirmation outlining key details such as Vehicle type or category, Rental Period, indicative charges, and any additional services. The Agreement is formed only when we issue a booking confirmation or when you sign the rental agreement, whichever occurs first.

4.2 Deposits and pre-authorisations

  • We may require payment of a booking deposit or a security deposit (or both), the amount of which will be communicated to you before you confirm the booking.
  • Deposits or card pre-authorisations are held as security against unpaid charges, damage, loss, fines, or other sums due under the Agreement.

4.3 Payment methods

We accept commonly used payment methods in the UK, which may include major debit and credit cards, bank transfer, or other methods notified to you at the time of booking or on our website. Cash payments may be subject to additional verification checks and are accepted only at our discretion.

4.4 Payment timing

  • Unless otherwise agreed in writing, rental charges for short-term rentals are payable in full at the start of the Rental Period.
  • For long-term rental or leasing arrangements, payment schedules will be set out in the relevant Agreement or invoice.
  • Additional charges arising during the Rental Period (for example, extension fees, damage, or fuel) will be invoiced or charged against the payment card on file, as permitted by law and the Agreement.

4.5 Pricing and changes

All prices are quoted in GBP (£) and, unless stated otherwise, are exclusive of any applicable taxes, fees, or surcharges. We reserve the right to vary our pricing at any time; however, confirmed bookings will not be affected except where changes are requested by you or where a manifest error has occurred.

5. Rental Period and Returns

5.1 Calculation of Rental Period

The Rental Period commences at the agreed date and time for vehicle collection and ends when the Vehicle is returned to our designated location and formally checked in by a member of our team. Rental charges are generally calculated on a per-day basis or as otherwise stated in your Agreement.

5.2 Extensions

  • If you wish to extend the Rental Period, you must contact us as early as possible before the scheduled return time.
  • Extensions are subject to Vehicle availability, satisfactory payment arrangements, and our approval. We are not obliged to approve an extension.
  • Where an extension is agreed, additional charges will apply at the prevailing rate and may require additional payment or deposit.

5.3 Early returns

You may return the Vehicle before the agreed end of the Rental Period; however, unless required by law, no refund or reduction will usually be provided for unused rental days or hours once the Rental Period has commenced, unless otherwise agreed in writing.

5.4 Late returns

  • If you return the Vehicle after the agreed return time without our prior written approval, late return charges may apply. These may include an additional day’s rental or hourly fees, together with any reasonable administrative costs.
  • Unapproved late returns may also affect your insurance coverage and could be treated as unauthorised use of the Vehicle.

5.5 Return condition and procedure

  • Vehicles must be returned to the designated return point in accordance with the instructions provided in your Agreement or by our team.
  • The Vehicle must be returned with all keys, documents, accessories, and equipment originally supplied.
  • A final inspection will be carried out, and you may be asked to sign a return report. Damage, missing items, or other issues not recorded at the start of the Rental Period may give rise to additional charges in accordance with these Terms.

6. Vehicle Condition, Use, and Restrictions

6.1 Vehicle condition at collection

Before leaving our premises, you will be given an opportunity to inspect the Vehicle and review an existing damage report. You must notify us of any discrepancies or concerns before you commence your journey. By taking the Vehicle, you confirm that you are satisfied with its general condition and roadworthiness, subject to any issues we agree to rectify.

6.2 Care and use of the Vehicle

During the Rental Period, you must:

  • Use the Vehicle in a careful and responsible manner and in accordance with all applicable road traffic laws and regulations.
  • Follow the manufacturer’s recommendations for operation and maintenance, including fuel type and load limits.
  • Ensure that the Vehicle is locked, secure, and parked safely when unattended, with windows closed and keys removed.

6.3 Prohibited uses

You must not, and must not allow any other person to:

  • Operate the Vehicle while under the influence of alcohol, drugs, or any substance that may impair driving ability.
  • Use the Vehicle for any illegal, hazardous, racing, off-road, or competition purposes.
  • Carry passengers or goods for hire or reward unless expressly authorised in writing.
  • Permit any person to drive the Vehicle who is not an authorised driver named in the Agreement and who does not meet the eligibility requirements set out in these Terms.
  • Use the Vehicle in a manner likely to cause excessive wear, damage, or deterioration beyond normal use.

6.4 Mileage limits

Any mileage limits or fair usage policies applicable to your rental will be stated in your Agreement or booking confirmation. Where limits are exceeded, additional mileage charges may apply.

6.5 Smoking and pets

  • Smoking or vaping is not permitted inside any Vehicle. Evidence of smoking may result in cleaning fees and, where necessary, additional charges for loss of use.
  • Pets may only be transported in Vehicles with our prior consent and must be appropriately secured. You are responsible for any cleaning or damage arising from the transport of pets.

6.6 Fuel

Unless otherwise stated, Vehicles are typically supplied with a specified fuel level and must be returned with the same level. Failure to do so may result in refuelling charges at the rate specified in your Agreement or our current tariff.

7. Insurance and Liability

7.1 Insurance coverage

Standard rentals generally include a basic level of insurance or damage cover, details of which will be provided in your Agreement or booking confirmation. Coverage is subject to the terms, conditions, and exclusions of our insurance provider and may vary depending on the Vehicle type and purpose of use.

7.2 Excess and charges

  • In the event of loss, damage, or theft of the Vehicle or its parts, you may be liable for an insurance excess or contribution up to the amount specified in your Agreement.
  • Additional products such as excess reduction or additional cover may be offered, subject to separate terms and availability.

7.3 Renter’s liability

You may be fully or partially liable for:

  • Damage to or loss of the Vehicle arising from misuse, negligence, or breach of these Terms or the Agreement.
  • Loss of keys, documents, or accessories supplied with the Vehicle.
  • Fines, penalties, congestion or toll charges, parking charges, and associated administrative fees incurred during the Rental Period.
  • Any costs, claims, or expenses arising from use of the Vehicle for unlawful, prohibited, or uninsurable purposes.

7.4 Accidents and incidents

In the event of an accident, theft, or other incident involving the Vehicle, you must:

  • Ensure the safety of all persons involved and contact the emergency services where required.
  • Notify BOK AUTOS NI LTD as soon as reasonably practicable using the contact details provided in your Agreement.
  • Not admit liability or make any offer, promise, or payment without our prior consent, except where required by law.
  • Cooperate fully with our insurers, provide all requested information and documentation, and complete any necessary reports.

7.5 Limitation of liability

Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, fraud, or any other liability that cannot lawfully be limited or excluded.

Subject to the foregoing, and to the maximum extent permitted by law:

  • We are not liable for any indirect, consequential, or purely economic loss (including loss of profits, business interruption, or loss of data) arising out of or in connection with the Agreement or your use of the Vehicle.
  • Our aggregate liability to you for any loss or damage arising out of or in connection with the Agreement shall not exceed the total rental charges paid or payable for the relevant Rental Period, unless otherwise required by law.

8. Cancellation and Refund Policy

8.1 Renter-initiated cancellations

If you wish to cancel a booking, you must notify us as soon as possible using the contact details on our website or your booking confirmation. The following general principles apply unless otherwise set out in your Agreement:

  • Cancellations made with adequate notice (for example, more than a specified number of hours or days prior to the scheduled collection time) may be eligible for a full or partial refund of pre-paid rental charges, excluding non-refundable fees.
  • Cancellations made at short notice or failure to collect the Vehicle at the agreed time ("no‑show") may result in loss of some or all pre-paid amounts, subject to applicable consumer protection laws.

8.2 Company-initiated cancellations

We may cancel a booking or terminate the Agreement where:

  • You fail to meet the eligibility or documentation requirements described in these Terms.
  • Payment or deposit is not received or cannot be verified.
  • We are unable to provide the Vehicle due to events beyond our reasonable control (for example, breakdown, accident, or force majeure).

In such cases, we will endeavour to offer a suitable alternative Vehicle or a refund of amounts paid for unused services, except where cancellation is due to your breach of these Terms.

8.3 Refund process

Where a refund is due, it will normally be processed using the original payment method within a reasonable time after the applicable adjustment has been agreed and any necessary inspections or checks have been completed. Processing times may also depend on your bank or card provider.
